    Responsibilities:

    Purpose and Summary of position:

     

    • Under the supervision of the Payroll Manager the Analyst will perform and lead all activities related to payroll processing and payroll tax accounting
    • Performs all activities necessary to process bi-weekly payroll and off cycles payment for both union and administrative groups
    • The analyst will assist the Payroll Manager with compliance, payroll accounting, payroll tax, and ensuring processes and procedures are up to date and implemented
    • This position is also responsible for providing effective day-to-day execution of payroll tax processes and activities
    • Accountable for payroll tax payments and filing, audits and accurate tax compliance and reporting results
    • Performs data entry and demonstrates strong problem solving skills to troubleshoot payroll and tax related problems

    Qualifications:

    Required Knowledge/Skills/Abilities:

     

    • Payroll tax background in a multi-state environment, knowledge of regulatory compliance, reciprocity, and local tax rules
    • Working knowledge with SAP Payroll system and ADP Tax Filing
    • Strong computer skills and the ability to maintain highest level of confidentiality
    • Proficient in Microsoft Office
    • Standard business skills, team player vision and fact finding ability required
    • Possess excellent communication and customer service skills
    • Awareness and working knowledge of tax rules and state regulations
    • 5+ years’ experience calculating and processing payroll
    • Experience working with payroll systems
    • Self-starter, team player and highly motivated
    • Excellent processing skills and attention to detail

     

    Desirable Knowledge/Skills/Abilities:

     

    • Perform regular payroll department operations
    • Manage workflow to ensure all payroll transactions are processed accurately and timely
    • Reconcile payroll prior to transmission and validate confirmed reports
    • Identifies and resolve systems issues that could impact payroll processing
    • Develops and maintains payroll processing procedures
    • Creates and maintain reports to maintain of payroll processing data integrity
    • Understand proper tax treatment and processing requirements for wages and employer paid benefits
    • Must have the ability to react in a timely manner to tax issues. Ability to prioritize workload while meeting deadlines
    • Process correct garnishment calculations and compliance
    • Receive and document any necessary approvals prior to processing commissions, payroll and any non-standard payments
    • Perform proper protocols for treatment of unclaimed payroll checks
    • Process accurate and timely year-end reporting (W-2, W-2c, etc.)
    • Work with accounting team to calculate and update any accruals for bonus or commission payments
    • Develop ad hoc financial and operational reporting as needed
    • Process manual checks/ off cycles when needed
    • Liaises with ADP and agencies on all tax related rates or issues
    • Oversee vendor in the submission of federal, state, and local tax filings on a biweekly, monthly, quarterly, and annual basis to ADP
    • Reconciles quarterly and year end wages and taxes for 940, 941, W-2’s and State returns
    • Liaises with ADP and agencies on all tax related rates or issues
    • Performs quarterly and annual tax reconciliation of quarterly tax returns and W2 filings following the documented SOX processes
    • Ensures that all tax returns have been filed correctly by ADP and that all filings are complete and accurate
    • Prepare W-2 corrections as needed after the reconciliation of all state/local/federal agency returns are filed, and ensure any necessary amendments are filed in a timely manner
    • Maintain up-to-date state unemployment rates in the PeopleSoft system, as well as outsource vendor system (ADP Smart Compliance)
    • Participates in projects and audits by researching, analyzing and compiling reports and liaises with applicable department
    • Conducts SAP interface testing working with HR and IT as needed
    • Communicate with various levels of management and taxing authorities on a regular basis regarding tax-related information and associated research
    • Files state/local applications for registration in new jurisdictions for new or existing businesses
    • Maintains data base of all company ID’s
    • Completes ‘Add Jurisdiction’ forms as necessary
    • Submit name changes for existing companies when notified by the Tax department of any changes
    • Participates in special projects and performs other duties as assigned
    • Coordinates and oversees payroll tax audits conducted internally or by taxing authorities
    • Provides all reports, tax filings and other general information as requested by the auditors
    • Works with ADP to request reports as necessary
    • Provide additional information as required by auditors
    • Forward all tax notices and letters to ADP as required
    • Issues W-2C’s when necessary

    • 3-5+ Years

     

    Required Education:

     

    • Bachelor's Degree
